New Features: Campaign Tracking & More

Filed under: Uncategorized — admin @ 11:10 am

This is just a new feature alert for existing and new subscribers.

The following features are complete, tested, and online:

  • Campaign Tracking
  • VOIP Dialer integration. Note we are adding more providers; if your provider is not on our approved integration list, just contact us.
  • Prospect Tracking

Campaign tracking will help sales professionals and business owners track their advertising and marketing campaigns. All sub-accounts will automatically display upstream campaigns, also, our metrics will calculate ROI and unit-return on any campaign for your entire group.

Prospect tracking is intended for importing of a CSV list of prospects (i.e. data purchased) for use with a dialer campaign or cold-call campaign. Later, we\’ll tie in prospects to marketing campaigns, so you can create a campaign, then apply mass email or dialer marketing campaigns to it. The system already allows for automated email using the standard automation features.

Why Hosted CRM is Better

Filed under: Uncategorized — admin @ 11:53 pm

Why Hosted CRM Software is Better:

Here are the Top 10 Reasons why Hosted CRM Software is superior to old-school software you install.

  1. Automatic Backups. For anyone who has ever lost valuable data to spyware, viruses, or that funny sound your hard drive is making, you\’ll love working with online-only applications. Since all data is remote, the most current version of your data is always online – which means if anything happens to your PC or phone, you\’re all set – just grab any web-enabled device and you\’re back in business in minutes.
  2. Global Accessibility. Want to actually balance work with family? With our suite of Software-as-Service applications, you really can have it all. This means staff can work from home or work or while traveling on business. You can work from home, without spending thousands on IT hookups. Grow your sales team by hiring low-overhead field sales agents – but keep accountability over them. Staff from two to 10,000 can all be on the same page (literally), from anywhere on the planet. So with the thousands you\’re saving over some software from the traditional big names you can invest in a rising star and still have money left over for that cruise. And since cruise lines have internet, you won\’t miss a thing.
  3. Easier Cash Flow Management. Traditional boxed software is usually something you buy up front, then spend time upgrading (or pay the IT guy to install), then later pay for upgrades. If you lose your license number, your hard drive melts down, or the original software is lost or stolen you\’re faced with wasted time and/or lost money. With software-as-service, you avoid that initial cash outlay and save thousands over the long run in reduced IT costs and get greater flexibility in hiring and downsizing.
  4. Better Quality Software & No Upgrade Shock. Since you\’ll always have the latest version online, having to learn new software will generally become a problem of the past – since new small changes happen every week. Furthermore, since our staff can easily study the usage patterns, we know in a matter of days if there\’s a point of confusion on some new feature, and can improve the user interface and improve the on-screen help in just days. With traditional boxed software, upgrades are expensive and time consuming, so each new version meant a short-term productivity hit while people learned new features. With small changes spread out, the change is more continuous and manageable.
  5. Cross Platform. Our hosted CRM software isn\’t just cross-platform, it\’s cross-device, cross-planet, and cross-language. You\’ll be always synchronized and never have software issues regardless of using PC, mac, or linux, or web-enabled phones. You\’ll be positioned for the future. Use the peripherals you love (card scanners after a convention), and never worry about only having your kid\’s game device to use from the couch… it\’s ok – any internet device will work.
  6. Easier Data Sharing. Obviously a major benefit is sharing among employees, but on a deeper level this means you can share with clients, referral sources, and suppliers. It also means data mining, so that owners and sales managers can see metrics and analytics in real-time. This enables unprecedented automation, so that when pre-set rules are met, specific actions can be triggered such as marketing, changing opportunities or transactions, or triggering communication to anyone including suppliers, drop-shippers, etc. The amount and granularity of the data available has never been higher in the history of business than with companies using hosted CRM software.
  7. Complete Internet Integration. Years ago, people thought of the business as one thinks of a brochure: a one-way device to build trust. While that\’s one use for the web, today\’s business is interactive. Practically speaking, this means all leads gathered from website forms can be automatically entered into the hosted CRM software, then assigned to the correct sales rep, and trigger automation. This data is then web-resident and tracked from sunrise to sunset, which means transactions in process can command other processes and receive input from web-resident automated systems. One example of this is our \”activity sniffer\”. If a sales rep marks an opportunity as \”long-term incubate\” but the client comes back to your website, we\’ll automatically update the status of that lead which can increase your sales. This automation is only practical using a hosted CRM software.
  8. No IT costs. With our Hosted CRM software, you don\’t even need a local network or server – since there\’s zero difference between being down the hall or across the planet. Back in the 90\’s, businesses spent money on backups, on having the IT guy upgrade all the software, on upgrading the hardware, on networking. These days, a laptop out of the box can be fully operational in minutes. This saves you thousands of dollars and hundreds of hours per year. You\’ll also get peace of mind knowing your information is safe in a high-security data center with bank-level encryption with optional military-grade encryption for sensitive documents.
  9. Integration Flexibility. Being web-resident means integration with various other web-resident applications, ranging from Twitter for status updates, to Aweber for mass email marketing, to printers like SendOutCards and Postful.com (who will print, stamp, and mail using US mail). Our system can one-click dial through phone systems like Skype or Ring Central, and can automatically receive your voicemails to ensure tracking. Events can be scheduled to Google Calendar – and many more specific features like this that rely on other websites. As our application grows, we seek greater integration with the ecosystem of internet businesses that provide specific tools and services to help your business grow. No matter what functionality or feature or service you need, these days, you can bet there are internet based businesses that can help, and we either have already integrated with them, or may be able to take your requests and integrate to add features you need.
  10. Automation. One area in which SwiftCRM excels is sales automation. We believe in automating as many repetitive tasks as possible. These days, there are billions of websites, with more information coming online each day. What we really seek to provide could be called information robotics – automated systems that allow you to define some logic, and when that logic is met, other actions are triggered. This level of automation is only possible in a hosted CRM. Example automations might be monitoring an RSS feed for certain keywords, ad when found, sending out certain marketing and/or creating a lead for your sales team. It\’s not a big task – but doing it can create more sales opportunities, and we can help you do it without consuming your or an employee\’s time.

We love our work, and truly want to improve your business.

Furthermore, we\’re so certain we can help that we have a \”Positive ROI Guarantee\”: For 90 days, our transition team will help you get set up and integrated – and if for some reason, it\’s not a profitable decision, you don\’t pay. We\’ll take the risk – you take the risk-free trial account.

LenderMate Mortgage CRM

Filed under: Uncategorized — admin @ 7:15 pm

LenderMate.com has become part of SwiftCRM!

This is great news. All the customization and power that Lendermate had has been folded into SwiftCRM.com and improved upon. The vision that was Lendermate has finally been realized, putting into your hands the power to automate your business and work more effectively than ever before.

LenderMate.com was originally born in 2002 as a mortgage CRM. This system was called a \”whiteboard on steriods\” by mortgage brokers, and had a small but very loyal group of users.

Some of the features we have included from the lendermate days include:

  • Whiteboard style tracking of deals in process, with automated triggers based on status
  • Nearly instant team-building (i.e. add a favorite appraiser, title/abstract rep, etc. in seconds)
  • data-sharing so realtors and clients can see status at any time.
  • Vendor/Lender database
  • Note any file in seconds and see past history
  • Analytics / Stats – see historical closing ratios, average income-per-deal, etc.
  • Data Sharing i.e. a processor and LO both see the same file

In addition, we have many features we planned before but didn\’t get to build, such as

  • Store any type of file with a lead/transaction (i.e. appraisal is stored online in the file)
  • Online application / 1003 integration
  • Far superior automation tools
  • Better handling of lead-types – do you can better automate FHA vs. Reverse Mortgage vs. Loan Mods, etc.
  • iSignature.com electronic signature is 100% integrated
  • Web-form handling and Movoxo.com media handling is 100% integrated.

We\’d love to show you what SwiftCRM (LenderMate.com 4.0?) can do for you. Create a free trial account today! Contact our team with any questions.

Variables for Web Forms

Filed under: Uncategorized — admin @ 3:13 pm

Any web form can easily feed your SwiftCRM account. This means you have the world\’s best autoresponder along with your sales-team integration so you or they can follow up and track every lead from \”prospect\” to \”closed/paid\”.

In order to correctly populate your opportunities, you need to name your form-fields specifically. Below, we\’ll cover how to ask for information not in this table. Also, for more specific integration, just ask – we\’re happy to help.

  • vOpportunityType  //* See http://swiftcrm.com/blog/lead-types-for-auto-insertion/
  • vExclusivityType  //* ignore in most cases; used if you sell leads and sell to 3-4 people at the same time.
  • iUrgency   //* ignore in most cases, but you can use it typically as a hidden field.
  • vIP     //* requires PHP to sniff out. Generally useful for multi-country work.
  • vReferrer //* requires php. useful for tracking PPC keywords, SEO, or referral sources.
  • vName   //* our system will automatically split this into firstname, lastname.
  • vFirstName   //* if your form uses separate fields for first/last name, use these.
  • vLastName
  • vEmail
  • vPassword  //* used for iSignature.com and/or advanced applications that allow users to save and log in to edit.
  • vPhone1
  • vPhone2
  • vFax

  • vLeadTypeField1   //*  Lead Type Fields are information specific to the lead-type.
  • vLeadTypeField2  //*  For example, this might be \”Value\” for mortgage leads.
  • vLeadTypeField3  //*  For information on a specific type, contact us.
  • vLeadTypeField4
  • vLeadTypeField5
  • vLeadTypeField6
  • eGender  //* Must be Male or Female (caps sensitive)

Anything that doesn\’t conform to this, can be saved into the comments by simply adding a \”extra_\” before any variable name (i.e. call the field \”extra_favorite_color\” and it will list \”favorite_color = blue\” in the comments).

For advanced industry-specific applications such as an online 1003 (mortgage application), debt settlement application, etc. we have a separate database and method of saving data so it is suitable for export to industry-specific applications (i.e. Calyx Point or Ellie Mae\’s Encompass; for debt settlement X-Ware).

Customer Management

Filed under: Uncategorized — admin @ 11:42 am

How much time do you spend on customer management right now?

Many business owners spend plenty of time on lead generation and marketing campaigns and product development. Then they turn their focus to sales techniques to turn those leads into profits.

Not enough managers take the time to understand how effective customer management can increase sales and raise profits and save you money on advertising campaigns.

Did you know that enticing existing customers to buy again is far less expensive than trying to find new customers?

One of the easiest ways to turn past customers into repeat or upsell buyers is to put customer management software to work for you properly. This can mean using the contact information you have on any past customers to offer them a discount or a bonus or a special deal on any new or alternative products you have to offer.

To most people, keeping relevant information about clients usually means writing down their contact information somewhere or keeping some basic data in excel. This works, but is definitely not as effective as using the right tool for the job – a customer management software system.

Imagine if you had information at hand that told you which products a customer had already bought and what types of products they were interested in seeing. What if you have software that automatically prioritized them by interest level, incubated the slow-moving tire-kicker leads, and sent the hottest prospects to the front of the line? A good customer management system can do just that.

You can also group your inquiries into sections so you can understand the different categories of leads your marketing efforts are generating.

Imagine you receive a call from a potential buyer who wants to know your prices (a buying signal!) on a product, but then leaves saying \”I\’m just shopping, thanks.\”

Now imagine you get a call from a customer who says they really need your product now and asks about pricing?

Effective customer management would include tracking both inquiries the same way and trying to gain information about exactly what each client wants so you can more accurately supply them with the items they\’re looking for.

What\’s more, you also have the advantage of being able to cross-sell alternative products that might be more suited to what the customer really needs, rather than what they think they want.

This kind of customer management technique has the advantage of increasing your sales and building new levels of trust with your customers if you put it to work for your business the right way.

Customer Relationship Management Software

Filed under: Uncategorized — admin @ 6:37 pm

Customer Relationship Management Software

Have you considered using customer relationship management software to increase your business\’s sales?

Often shortened to CRM, customer relationship management software is far more than just a database of contact details for your customers. By collecting and collating the right data about your customer\’s shopping and spending habits, you can use that data to help you find the right marketing angle to encourage more sales.

You can also sort your information by level of importance to help determine how effective your marketing campaigns have been. This means you could classify any customers who made inquiries without buying anything as \’not ready to buy yet\’ and then classify people who did purchase as \’existing customers\’. You might decide to add a few different classifications too, for those people who are ready to buy now but haven\’t purchased yet.

This kind of information can be invaluable when used correctly. Customer relationship management software can help you to put together direct marketing efforts designed to work on each customer\’s stage of the purchase cycle.

For example, if one person is making inquiries but hasn\’t bought anything, then this could mean that the product wasn\’t quite right or the price wasn\’t what they expected or perhaps they were shopping. A direct sales pitch aimed at reassuring these customers might just be what they need to encourage a purchase.

How about looking at past clients who have already bought something from your business? By accessing your customer relationship management software, you\’ll already know what they purchased in the past, so you\’re in a position to offer them other products or services from your business\’s range.

These simple tactics could seriously increase your profits and save time and money on untargeted advertising expenses. After all, existing customers are always any business\’s best source of new business.

If you have a sales team out of the road trying to secure new sales for your business, then web-based customer relationship management software could be ideal for you.

Your staff are able to access the software remotely from wherever they are using a wireless connection and they can access the data in your software to show them which customers are ready to buy right now.

This saves you time and money as your sales staff will always have access to customer information that will help them increase sales conversion numbers. You\’ll also be boosting staff morale, as sales people tend to be more motivated when they have a steady stream of qualified leads to work with.
